Position Overview
Our client is seeking a highly organized and proactive Executive Assistant to provide comprehensive support to a top executive. This role involves managing a variety of tasks, including scheduling and communication, while ensuring the smooth operation of both professional and personal commitments.
KEY RESPONSIBILITIES
Company Operations

Manage the complex calendar and travel arrangements for the executive.

Liaise with various departments, both locally and overseas, internally and externally.

Coordinate meetings, conferences, and events.

Prepare presentations, reports, and other documents as needed.

Conduct research and provide analytical support.
Board Management & External Authorities
Support the executive in her role on the board and in dealings with external authorities.
Personal Support

Assist in managing the executive's family affairs, coordinating with household staff, such as maids and drivers.

Oversee the training and performance of household staff to ensure high service standards.
Team Management
-
Supervise and mentor three secretaries, fostering a supportive and productive team environment.

Promote effective communication and collaboration among team members.
REQUIREMENTS
Track Record: Proven experience supporting C-suite executives in fast-paced environments. Previous office management experience is preferred.
Supervisory Skills: Experience supervising and coaching secretaries, maids, and drivers, or in a similar high-level administrative role.
Proactive Mindset: A sense of responsibility and eagerness to assist, with the ability to think ahead and anticipate needs.
Personality Traits: A clear-minded, detail-oriented, and fast-paced individual with a management mindset, capable of seeing the big picture and planning accordingly.
Trust and Confidentiality: Ability to handle sensitive information with discretion while maintaining confidentiality.
Interpersonal Skills: Strong ability to work with diverse individuals while maintaining a professional demeanor and avoiding an overly authoritative approach.
Organizational Skills: Exceptional organizational and multitasking abilities in a fast-paced work environment.
Communication Skills: Excellent verbal and written communication skills in Cantonese, English, and Mandarin.
Flexibility: Willingness to work overtime and adapt to changing demands.
Languages: Strong communication skills in English, Mandarin, and Cantonese.
Education: Bachelor's degree or higher in any discipline.
