We are currently recruiting for the following position:
The Activities and Summer Programs Assistant supports the Primary Schools Activities & Athletics Coordinator in the day-to-day operations of the ASA programs in the Lower and Upper Primary and contributes to the smooth running of the Summer Discovery Programs.
KEY AREAS OF RESPONSIBILITY:
Program Implementation and Coordination:
- Work with the Activities & Athletics team to coordinate and implement programs established by the Primary Schools Activities & Athletics Coordinator.
- Support existing programs and systems in order to ensure consistency and quality as well as to determine any areas of improvements.
- Assist the Primary Schools Activities & Athletics Coordinator to manage the summer program registration process, arrange refunds, payroll calculation for staff, purchase supplies as well as assist with campus set-up and wrap-up.
- Mediate parents’ complaints and handle students’ behavioural issues in the absence of the Primary Schools Activities & Athletics Coordinator.
- Liaise with local schools, teachers and parents when required for overall program development.
Program Guidelines:
- Assist in the evaluation, communication and implementation of guidelines established to ensure the effective operations of the department.
- Assist the Primary Schools Activities & Athletics Coordinator in identifying any areas of improvement.
Staffing:
- Support the hiring process for teachers, support staff and teacher assistants for Summer Discovery Programs.
- Support the orientation of teachers, teacher assistants, nurses & AV technicians, together with the Primary Schools Activities & Athletics Coordinator in order to ensure the standard and quality of instruction and delivery are met.
- Assist the Summer Program Specialist in solving any day-to-day problems and issues.
- Support the supervision of the duties of teachers and other staff associated with these programs.
- Work with HR to prepare summer staff contracts & time sheets.
Marketing:
- Execute marketing strategies including Summer Discovery Program website, China trips poster, website, in order to promote programs to the internal and external community.
- Arrange and implement various forms of advertisement in conjunction with the HKIS Marketing Office.
- Email bi-weekly advertisement directly to HKIS parents and students as well as post advertisement on divisional newsletters.
Vendors:
- Support the Primary Schools Activities & Athletics Coordinator to establish effective support services, such as, bus transport and catering services.
- Maintain records and regularly report findings to the Primary Schools Activities & Athletics Coordinator.
Budgeting:
- Maintain and monitor operational expenses as well as approve requests for teaching supply and student materials to ensure amounts do not exceed budget limits.
Facilities Management:
- Coordinate and arrange summer school facilities, supply, AV & computer requests and work with Facility Service Managers, Finance Department, Human Resources Department, and Purchasing to ensure smooth schedules and set up throughout the summer.
Reporting and Analysis:
- Compile and analyse data to assist the Primary Schools Activities & Athletics Coordinator in evaluating operations and procedures for recommendations to the schoolwide Director of Activities and Athletics on improvement areas.
Other:
- Undertake any other duties and functions as required by the LP/UP Activities & Athletics Coordinator, which will help improve overall operations.
EXPERIENCE & QUALIFICATIONS:
Education:
- Relevant degree or experience working within an extra -curricular program.
Experience:
- 3 year’s experience working in a school setting involved with managing activities and or summer programs
Desired Skills:
- Strong written and verbal communication skills in English, Cantonese/Mandarin preferred.
- Experience in supporting academic and non-academic programs.
- Experience in staff training and supervision preferred.
- Strong interpersonal skills.
- Webpage maintenance experience an advantage.
- Proficient using Microsoft 365 platforms’ applications, SchoolsBuddy, Schoology, PowerSchool.
- Flexibility to meet varying workloads throughout the year.
- Strong organisational and multitasking skills.
